Faculty, staff, and students may access the Event Management System (EMS) online to reserve space and request related services including catering, audio/visual, custodial, and maintenance. More information about the system is available on the EMS webpage.
Services must be requested at least ten business days before the event date.
Please indicate reservation start and end times and event start and end times in EMS. Small events require a minimum of 30 minutes, large events require 60 minutes, and large venue changes require 3 hours. If you are not sure how much time your events may require for setup and teardown please contact the service provider.
Event services are provided Monday through Friday between 6 a.m. and 3:30 p.m. Events that occur outside of these hours will require space reservations that allow for setup and teardown during these hours. Weekday events will require space reservations that allow enough time for a weekday setup before 3:30 p.m. and for teardown the following weekday, starting at 6 a.m.
AVI Catering requires the event space to be reserved two hours before and after your event.

The , managed by the Office of Campus Events exists to reduce or prevent scheduling conflicts between events that target similar audiences and/or require similar resources.
Department-, office-, and affiliate-sponsored events, and large-scale meetings (e.g., town halls, faculty meetings, etc.) should be added to the Master Events Calendar in a timely manner via the . Changes or cancellations can be submitted to events@kenyon.edu.
Please consult the Master Events Calendar and EMS for potential conflicts before planning your event, particularly if you are contracting with external visitors. Event scheduling is generally on a first-come, first-served basis; however, traditional annual events, such as Opening Convocation, Founders’ Day, Honors Day, Baccalaureate, Commencement, Reunion Weekend, and the MLK Day of Dialogue, are permanent fixtures on the calendar and should not be scheduled against.
The Master Events Calendar is not intended to replace EMS. Please continue to reserve rooms, through the system.
Common Hour allows members of the Kenyon community to attend events that enrich the campus and cultivate dialogue. Common Hour is defined as Tuesday and Thursday from 11:10 a.m. to 12 p.m.
